Artwork Proofing

Before any personalised item is made, we send a proof so you can check the wording, layout and key details. This helps make sure names, dates and message engraving are correct before production begins.

Artwork Proofing

What you will see on your proof

Your artwork proof shows the details we plan to use on your keepsake, memorial piece or personalised gift. For engraved items, this normally includes the exact spelling of names, dates, wording, line breaks and the placement of each element. For photo books or cover personalisation, the proof shows the cover text, photo placement and any design choices that affect the final look.

The proof is meant to give you a clear view of what will be made in our Lynnwood, Pretoria studio before anything is engraved or printed. Please check every detail carefully, including capital letters, initials, accents, apostrophes and the order of names. A small spelling error can change the meaning of a piece, so it is worth taking a few minutes to review it properly.

  • Names and surnames exactly as they must appear
  • Dates, years and any memorial wording
  • Layout, spacing and line breaks
  • Photo placement, crop area and cover text where relevant

How the approval process works

Once we have your order details and artwork information, our team prepares the proof for your review. You will receive the proof through the same enquiry process used on our contact page, then you can check it at your own pace. If everything is correct, you simply approve it and we move the order into production.

If you want changes, reply with the exact corrections needed. We can adjust spelling, date formats, text placement or the arrangement of names before production starts. For a bulk family order, one approved layout can be used across several matching pieces, which helps keep the wording consistent.

  • Step 1: We prepare the proof from your submitted details
  • Step 2: You review the names, dates and layout carefully
  • Step 3: You send approval or request changes
  • Step 4: We start production only after approval is confirmed

What to check before you approve

Please read the proof as if you were checking a final memorial notice or keepsake message. It helps to read it out loud once, then compare it with the details you sent us. This is especially important for message engraving and plaque personalisation, where every line must fit neatly into the available space.

We also recommend checking the tone of the message. Some clients want a formal memorial message, while others prefer something more personal and warm. If the wording includes a favourite quote, nickname or family title, confirm that it appears exactly as intended. During load shedding or busy periods, it can be easy to miss a small detail the first time, so a second check is always worthwhile.

  • Spelling of every name and surname
  • Correct dates, months and years
  • Full message text, including punctuation
  • Any photo captions, titles or cover wording
  • Spacing and line order on smaller items

Changes after approval

Once you approve the artwork, production begins and the layout is locked in. At that stage, further changes may not be possible, especially on engraved jewellery, urn inscriptions or plaque personalisation where the work is permanent. That is why we ask clients to check the proof carefully before giving the final go-ahead.

If you notice an error after approval, contact us as soon as possible through the enquiry form on our contact page. If production has not started yet, we will do our best to correct it. If the item has already been made, the available options will depend on the product and the stage of completion. Coastal humidity, courier packing and final finish can all affect turnaround, so feedback is always best.

Proofing for different types of keepsakes

Different products need different levels of checking. Jewellery personalisation usually needs short text and precise spacing, while urn inscription work needs exact wording and measured alignment. Photo books and cover personalisation often include more visual elements, so we check both the text and the image placement carefully. Courier packaging is only arranged after the final piece is approved and completed.

Across Pretoria, Centurion, Midrand and pickup areas like Lynnwood, Menlyn, Brooklyn, Silverton, Garsfontein and Montana, the proof process follows the same steps. Nationwide customers receive the same care too, whether the final delivery goes to Gauteng, the coast or a smaller town. It is a simple step, but it protects the quality of the finished piece.

  • Engraved jewellery: short wording, initials and date format
  • Urns: inscription layout, name placement and memorial text
  • Photo books: cover text, photo order and title spelling
  • Plaques: line spacing, mounting space and wording length

Need help reading your proof?

If the proof is unclear, or if you are not sure about the wording, our customer care team can help you review it. We can explain where the names will sit, how the text will fit and whether a longer message needs shortening. For families working through a memorial order, this extra check can make the process feel less overwhelming.

We are based in Lynnwood, Pretoria, and our team manages approvals, engraving and courier dispatch from the studio. If you need a final check before approving, send your query through the contact page and include the order details, then we will guide you from there. A careful proof now saves a lot of stress later, and it helps us make sure the finished piece is exactly right.

Questions we get asked

Why do I need to approve the artwork proof?

Approval confirms that the spelling, dates, layout and wording are correct before production starts. It helps prevent errors on permanent items such as engraved jewellery, urn inscriptions and plaques.

Can I make changes after I approve the proof?

Only if production has not started yet. Once the piece is in production, changes may not be possible, so it is best to check every detail carefully before you approve.

What should I check first on my proof?

Start with names, dates and the full message text. Then check spacing, line breaks, punctuation and any photo or cover placement so the final piece matches what you want.
